Depending on the type of mobility, the participant receives a letter of acceptance to a European educational institution (Acceptance/ Enrolment/ Invitation) under the EU Erasmus+ Programme. This letter is the basis for preparing the documents required for participation in the academic mobility programme.
STEP 1. READ THE DOCUMENTS AND GROUNDS FOR DIRECT BORDER CROSSING
Regarding the format of documents for all types of mobility: paper original or original with electronic signature, or scanned copy of the original (depending on the policies and regulations of the host country/institution/organisation).
Regarding the need to obtain a student or other visa: it depends on the rules of the embassies of the countries during martial law in Ukraine.
For reference: to enter the Schengen area, you must have a valid biometric passport to cross the border.

ATTENTION!!! Please note that the postponement of mobilisation does not automatically grant certain categories of persons the right to cross the border.

STEP 2: COMPLETE OTHER DOCUMENTS REQUIRED BEFORE STARTING THE ERASMUS+ ACADEMIC MOBILITY PROGRAMME.
- contact the host universities to agree on the list of documents required to ensure the grant process in a particular country (visa/ID number for foreigners/confirmation of a bank account in the host country/health insurance policy, etc.)
- discuss with the host university options for accommodation during the period of academic mobility.
Please note that not all foreign partner universities provide exchange students with a place in a university dormitory, but you can always contact the International Relations/Erasmus+ office of the host university for help in finding accommodation.
- book the tickets you need to arrive at your destination and your accommodation.
- agree with the host university on the exact dates of arrival. You must arrive at the place of study no later than the specified date.
STEP 3. PREPARE AND SUBMIT DOCUMENTS FOR PARTICIPATION IN THE ERASMUS+ ACADEMIC MOBILITY PROGRAMME AT THE NU "OUA"
To apply for participation in the academic mobility programme, the following documents must be submitted to the International Relations Department no later than 7 working days before the start of the programme:
- submission or application to the Head of the University with visa approvals from the Head of the Department / Dean of the Faculty / Director of the Institute, Head of the International Relations Department (in case of international academic mobility);
- an invitation/letter of admission to a higher education institution and its official translation into Ukrainian;
- inter-institutional agreement on mobility between universities; agreement between the Participant and the partner institution (to be executed if necessary);
- schedule of replacement of training sessions (for teachers);
- an individual academic mobility curriculum approved by the dean of the faculty/director of the educational and research institute/institute (to be drawn up if necessary) (for students);
- written consent to the processing of personal data;
- other documents in accordance with the terms of the programme.
After the positive decision of the head of the University is made, an academic mobility agreement is concluded between the Participant and the University and an administrative document (order on the exercise of the right to academic mobility or order on foreign travel) is issued, which defines the purpose, term, conditions (including financial) of the academic mobility programme. A person acquires the status of a Ukrainian participant from the date specified in such a document. The participant of the mobility programme is responsible for the timely registration of departure abroad in accordance with the terms specified in the invitation.
If the Participant is a minor, the academic mobility agreement is concluded with one of his/her parents or a person who is his/her legal representative.
STEP 4: AGREE WITH THE HEAD OF YOUR ACADEMIC DEPARTMENT ON THE SPECIFICS OF STUDYING AT NUOUA WHILE PARTICIPATING IN THE ERASMUS+ ACADEMIC MOBILITY PROGRAMME.
